POSITION SCOPE:
The HR and Office Specialist is responsible for providing comprehensive support in human resources administration and office management. This role ensures the accurate and timely processing of payroll and statutory contributions, assists in recruitment and employee life cycle management, ensuring compliance with labor laws and internal policies, and managing daily office operations to ensure a productive, safe, and well-functioning workplace environment.
JOB DESCRIPTION:
A. Human Resources Support
- Handle end-to-end payroll processing, ensuring accuracy and compliance with company policies and government regulations.
- Process and remit government statutory contributions (SSS, PhilHealth, Pag-IBIG, and BIR) on time.
- Assist in onboarding and offboarding processes, including preparation of employment documents, orientation, and clearance procedures.
- Support recruitment activities, such as job postings, candidate screening, scheduling interviews, and maintaining recruitment records.
- Maintain and update employee records, ensuring data accuracy and confidentiality.
- Draft and issue employment contracts, internal memos, and HR-related documents in coordination with the HR and Office Manager.
- Support performance management activities, including probationary evaluations and annual appraisals.
- Assist in the organization of employee engagement, training, and wellness programs.
- Support compliance with company policies, occupational health and safety regulations, and applicable labor laws.
B. Office Administration
- Oversee the day-to-day office operations, including office supplies, equipment maintenance, and service coordination.
- Maintain records of contracts, service agreements, permits, and administrative files in accordance with internal policies and audit requirements.
- Liaise with vendors, suppliers, and building management to ensure smooth delivery of services.
- Monitor and report office expenses, prepare petty cash reimbursements, and coordinate budget submissions with Finance.
- Coordinate logistics for internal meetings, workshops, and corporate events.
- Support travel arrangements and logistics for employees and consultants as required.
- Implement and maintain workplace safety, cleanliness, and compliance protocols.
POSITION HOLDER REQUIREMENTS:
Formal Qualifications: Bachelor’s degree in Human Resource Management, Psychology, Business Administration, or related field.
Experience, Skills and Knowledge:
- Minimum of 3 years of experience in HR and administrative functions
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Familiarity with HRIS and document management systems.
- Working knowledge of Philippine Labor Laws, DOLE regulations, and occupational safety standards.
- High attention to detail and accuracy
- Ability to handle confidential information with discretion
- Good communication and interpersonal skills
- Proactive, resourceful, and able to work with minimal supervision
